How many emails hit your inbox every day? Fifty? A hundred? More? And how many of those actually need your immediate attention versus newsletters, automated notifications, and CCs you didn’t ask for?
Instead of manually sorting through the chaos every morning, let Outlook do it for you with Rules.
Rules are like having a personal assistant who organizes your mail before you even see it. You tell Outlook: when an email arrives that matches certain conditions, automatically do something with it.
How to create one
Right-click on any email, select Rules, then Create Rule. You can move emails from specific senders to folders, automatically flag messages with certain words in the subject, forward important emails to your phone, or delete newsletters you never read.
For example: every email from your project management system goes straight to a “Projects” folder. Every invoice with “payment” in the subject gets flagged for follow-up. Every newsletter goes to a “Read Later” folder instead of cluttering your main inbox.
Start with just two or three rules and add more as you notice patterns. Within a week, your inbox transforms from overwhelming to manageable.
